Charter quotes are not arbitrary. Seven variables set the number — and you control several of them.
Beyond a local radius, operators price per mile — roughly $4.50 to $6.00 for a full-size coach. Deadhead miles from the depot to your pickup can count too.
Most charters are billed hourly against a 4–5 hour minimum. A trip with long on-site waits costs nearly as much as one that drives the whole time.
A school bus runs $90–$150 an hour; an executive coach runs $175–$275. Choosing the right class for the distance is the biggest lever you control.
Federal rules cap driving at 10 hours per shift. Longer trips need a second driver, and overnight trips add $150–$250 per night for the driver's hotel.
Spring prom and graduation, peak wedding Saturdays and fall foliage weekends run 10–25% above baseline. Midweek travel is consistently cheapest.
Tolls, event parking and city permits are usually passed through at cost. Downtown and stadium parking can add $50–$200 to a single day.
Fuel is built into the base rate, but sustained diesel spikes can trigger a surcharge. Ask whether your quote is fuel-locked before you sign.
